AVA Power — Freight Allowed Policy

Master Warehouse location: Baltimore, MD

1. Purpose

To define when AVA Power will pay (allow) freight for customer orders shipped from our Baltimore distribution warehouse, by geographic region and minimum order value.

2. Scope

This policy applies to all domestic orders shipped from AVA Power’s Baltimore, MD warehouse to end customers within the United States.

3. Definitions

  • Freight Allowed — AVA Power pays the standard transportation charge from our warehouse to the customer’s delivery location (subject to exceptions below).
  • Order Value — Total net sales value of the order after discounts but before tax and freight.
  • Regions — Continental U.S. divided into three policy regions for the purposes of this policy:
    • East Coast — Atlantic seaboard states east of approximately longitude -90.
    • Center — Central states between approx. longitudes -105 and -90.
    • West Coast — Western states west of approx. longitude -105.

5. Eligibility & Procedure

  1. Orders shipped from AVA Power’s Baltimore warehouse that meet or exceed the region-specific minimum order value (as shown in the table above) will be shipped freight allowed under standard carrier service levels arranged by AVA Power.
  2. Customer orders below the threshold will be shipped collect (customer pays freight) or PPD – prepaid & add (AVA Power pays the freight & charges the customer) unless alternate written arrangements are approved by AVA Power Sales or Logistics.
  3. Order value is calculated after any contractual discounts or promotions are applied but before tax.
  4. Freight allowance covers one standard delivery to a single address. Additional stops, liftgate, inside delivery, residential delivery, or other special services are extra and will be charged to the customer unless specifically approved in writing.
  5. If an order qualifies for Freight Allowed but only partial quantities are in stock at the time of processing, AVA Power will hold the shipment until the full order is available and ship it together under the freight-allowed terms. If the customer requests early release of in-stock items, that shipment will be billed freight collect or PPD, and only the remaining portion of the order (when complete) will ship freight allowed, provided the original PO met the qualifying threshold.
  6. Freight allowed applies only to surface ground transportation; expedited air freight or other premium services are the customer’s responsibility unless pre-approved and paid by AVA Power.

6. Exceptions & Special Cases

  • Promotional or contract pricing: For certain promotional programs or negotiated contracts, alternate freight terms may apply; these will be documented in the customer contract or order confirmation.
  • Returns & Collect Shipments: Freight on returns is the customer’s responsibility unless the return is the result of AVA Power’s error or quality concern.
  • Oversized / project shipments: Large project shipments requiring special equipment, permits, or escorts are excluded from automatic freight allowance; quotes for freight will be provided per project.
  • Drop shipments & third-party locations: Freight allowance applies only to shipments from AVA Power’s Baltimore warehouse. Shipments originating from third-party locations are governed by the shipper’s freight policy.

7. Documentation & Billing

  • Freight allowances will be reflected on the customer invoice as “Freight Allowed.”
  • If the shipment incurs additional carrier charges due to customer-requested services (after shipment), AVA Power will invoice the customer for those charges.

8. Policy Changes

AVA Power may modify these thresholds, regions, or terms at any time. Any material change will be published and provided to customers at least 30 days prior to the change taking effect, except when adjustments are needed immediately due to carrier market changes or force majeure.
